What should you consider when reconfiguring your office?

Have you considered how the planned reconfiguration of your offices will affect communication across your business? 

 

 

Many organisations are currently evolving their use of technologies to support the changing work patterns and locations of their staff. When making these changes it is vital you consider how the configuration of your office could impact your communication. 

 

Are your existing systems still able to support you and your teams? 

 

You should be spending time understanding how your teams will be working, plan who will go where and consider the needs of each member of staff, in terms of the access, connectivity and technology they will require to do their job effectively.

 

Broadband and WiFi Connectivity

 

You should look at how your teams currently access your broadband and WiFi and also the quality of the connection across the entirety of your office. 

 

You need to ensure all members of your team will be able to access a quality connection to work effectively, especially those now working in a different location. 

 

Staff having to move workspaces may be able to take their existing technology with them, or this may present a need for additional hardware. 

 

If this is the case, before staff return to work, you will need to consider and address any connectivity and access requirements. For example, there may be a need for additional lines, access points, routers and cabling.  

 

You may be repurposing space in your offices that previously had limited access or private networks, such as a meeting room that may now require increased bandwidth and/or speeds. 

 

Flexible Phone System

 

It is important to take the time to understand and think about how you would like your telephone system to handle incoming phone calls and internal calls as you return from lockdown. Your team may now have to work in different areas of your building, or members of your team may still continue to work remotely

 

Will your existing telephone system enable them to easily work from wherever, without creating issues for your communication? 

 

The main aim of your telephone system is that it should make it simple and easy for people to contact your organisation and equally simple for your staff to answer calls. 

 

A network or system needs to be designed in a way that can easily and seamlessly move calls to a desk phone, mobile device or Microsoft Teams, depending on where team members are working, whether that be the office or home.

Will you require additional mobile handsets?

 

If you will still be having a large number of your team working remotely or splitting their time between the office and home, it is also important to consider providing these staff with mobile handsets, to easily support them and ensure no disruption or issues with your communication. 

 

It may also be worth considering whether these staff members could equally benefit from having a desk handset at home, particularly if they are going to be spending a significant amount of time there, working remotely on a more permanent basis.
